Overview of Job Description

North American Properties Atlanta, Ltd. is seeking a highly motivated, innovative and organized Administrative Assistant to join the team.


Duties and Responsibilities

In order to perform daily duties and responsibilities, the Administrative Assistant - Avalon must:

  • Direct report to the General Manager and Asst. General Manager
  • Maintain schedule, appointments and deadlines of the General Manager as well as Asst. General Manager.
  • Works closely and effectively with both the General Manager and Assistant General Manager to keep them informed of upcoming commitments and responsibilities, following up appropriately.
  • Assist in identifying, building and maintaining relationships with key vendors and contractors ensuring flawless execution and maintenance of NAP brand standards
  • Code and process all invoices in a timely manner and effectively communicate with the accounting team.
  • Expense the General Manager and Assistant General Managers expenses in a timely manner.
  • Handle all requests and queries from the operations team.
  • Effectively prepare all tenant correspondence and vendor Service contracts.
  • File all lease related documents in the appropriate folders
  • Plan meetings by identifying, assembling, and coordinating requirements; establishing contacts; developing schedules and assignments
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
  • Work with the office coordinator in ensuring all tenant contacts and internal contacts are always updated.
  • Answer and direct calls to the appropriate departments
  • Assist with additional tasks as requested by the General Manager

The Administrative Assistant will provide support to the General Manager and the operation team while serving as the point of contact for internal and external relations. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Administrative Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

  • Excellent knowledge of MS Office
  • Strong communication skills both written and oral
  • Attention to detail
  • Energetic, Avalon is a fast-paced office

Compensation and Benefits
