Front Office Concierge/Risk Management Administrative Assistant


Overview of Job Description

The Front Office Concierge/Risk Management Administrative Assistant will be the first impression to all external guests and internal associates by providing professional and consistent concierge service. This individual will be responsible for coordinating the daily operations of the office.  In addition, this individual will assist the Director of Risk Management with various risk and insurance administrative tasks. The ideal person will exude strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. Individual must be able to work under pressure at times in order to successfully complete a variety of activities and handle confidential matters with discretion

Duties and Responsibilities

In order to perform daily duties and responsibilities, the Front Office Concierge/Risk Management Administrative Assistant must:

Front Office Concierge

First Impression and Communication

  • Process all incoming calls in a professional manner. Screen and direct calls to the appropriate individual or NAP office.  Keep NAP project list up-to-date in order to transfer calls appropriately 
  • Greet all guests and employees upon arrival
  • Individual will prepare and format internal and external information for distribution. This includes letters, memos, presentations, editing, proofreading and additional information upon request

Office Management

  • Monitor conference room calendars to prepare for meetings, including A/V needs and food & beverage set up
  • Responsible for meeting room cleanup and keeping all common areas tidy
  • Sort distribute and process daily mail and any parcel deliveries
  • Maintaining all office and kitchen supplies
  • Responsible for electronic filing of various office documents
  • Assist Tax Department during busy season as needed

Event Coordination

  • Assist with office activities and events
  • Contact venues to reserve for outside meetings
  • Assist in planning various events for the office, onsite or offsite meetings. May require the individual to stay late or come early if necessary

Risk Management Administrative Assistant

  • Analyze and maintain risk and insurance data
  • Manage certificates of insurance
  • Assist with claims management
  • Work with brokers and other 3rd parties as needed
  • Assist other offices with insurance and risk related matters
  • Other projects as assigned by Director of Risk Management

Qualifications and Requirements

  • Bachelor’s degree preferred
  • 1-3 years of relevant experience preferred
  • Strong customer service skills
  • Strong technical skills: Proficient in Microsoft Office (Outlook, Word, Excel, Power Point) and Adobe Acrobat. Familiar with Skype and Conference Room Software
  • Communicates clearly and efficiently through both verbal and written skills
  • Ability to multi-task, plan and set priorities with minimal supervision
  • Ability to exercise good judgment with a strong attention to detail
  • Ability to work on numerous tasks at a moment’s notice such as phoning, typing, word processing, emailing, filling, faxing, scanning, etc. Demonstrates poise, tact and diplomacy with the ability to handle time sensitive and confidential information and situations
