Overview of Job Description

The Lease Administrator will be an instrumental part of the team responsible for all aspects related to the lease of tenants.

Duties and Responsibilities

In order to perform daily duties and responsibilities, the Lease Administrator must:

  • Follow up on leasing calls and inquires with detailed emails to prospective tenants and brokers.
  • Composes letters, emails, routine correspondence, and rough drafts of memos and reports, as requested, and verifies document is correct in form/substance through proofreading.
  • Copies, assembles and sends hard copy or electronic file of documents for signature to all parties.
  • Independently prepares leasing documents including, but not limited to, leases (from boilerplate), amendments, assignments, letter agreements and estoppels.
  • Reviews documents drafted by outside legal for content and accuracy, and revises language as necessary. Ensures the form and format of the document are correct.
  • Independently prepares revisions and changes document based on recommendation and discussion with VP of Real Estate.
  • Participates in lease negotiations with tenant and/or tenant representatives
  • Assists in special shopping center reports or other special projects, as needed.
  • Answer and direct incoming leasing calls from flyers and signs.
  • Aid in the development and implementation of marketing materials including flyers, email blast and online listings.
  • Prepare material and assist with ICSC events from meeting planning to assisting with booth operation during events.
  • Other job-related duties as may be assigned.

Qualifications and Requirements

  • College degree, paralegal certificate and/or comparable experience in retail leasing at commercial real estate company.
  • Minimum three (3) years’ experience drafting retail leases either in a real estate company or legal environment.
  • Ability to independently draft retail leases and lease-related documentation.
  • Exceptional customer service skills
  • High energy level with positive, upbeat attitude.
  • Proficient in computer applications including Microsoft Office (Word, Excel and Outlook), as well as Adobe Acrobat, DocuSign and web-based research.
  • Ability to prioritize and anticipate issues; ability to handle multiple tasks.
  • Excellent organizational skills.
  • Proven written and verbal communication skills with a strong attention to detail.
  • Ability to interpret and analyze lease provisions.
