Overview of Job Description

North American Properties Atlanta, Ltd. is seeking a highly motivated, innovative, and organized Property Assistant to join the Birkdale Village Management team. This position requires an individual who is a team player with a positive, “can-do” attitude, extremely detailed and organized, proactive, and can think ahead to anticipate the needs of the team, the property, our guests, and tenants.

This is a highly visible position expected to display and maintain the utmost professionalism at all times. As a Property Assistant you will apply your commercial property management admin experience to support the Birkdale Village management team with day-to-day responsibilities, interacting with tenants and vendors, and assisting with all aspects of the management office including marketing, operations, engineering, and accounting.

This position will also play an integral role in being the office assistant, responsible for all front office functions, including answering & directing calls, receiving guests, and keeping the front office organized & well maintained.

Must be available Monday through Friday from 8:30-5:00 pm and must be flexible and willing to assist with a variety of duties as directed.

Duties and Responsibilities

In order to perform daily duties and responsibilities, the Property Assistant - Birkdale Village must:

  • Develop and maintain positive relations with retailers, office tenants, and vendors
  • Share knowledge of all Birkdale Village events with callers & employees
  • Maintain and update all vendor and tenant contact information
  • Receive and track tenant and vendor certificates of insurance
  • Prepare and edit correspondence, communications, presentations, and other documents
  • Inform appropriate individuals of any maintenance issues
  • Assist with Fire/Life Safety protocols during office hours and coordinate annual inspections
  • Assist in responding to and logging all guest issues/comments in a professional, courteous manner
  • Gather monthly tenant gross sales information, distribute appropriately, and enter into Yardi
  • Using Nexus, index and code all invoices in a timely manner, and effectively communicate issues to the management and/or accounting teams
  • Facilitate and track all billbacks to tenants/vendors and update the accounting team
  • Facilitate and process monthly credit card reconciliation
  • Communicate and aid in proper transfer of Utilities with new/expiring tenants
  • Update monthly Energy Star Property Profile
  • Assist in drafting and sending tenant memos
  • Update tenant manual
  • Be available to assist with property events
  • Assist with AP/AR inquiries
  • Work efficiently with multiple departments ensuring real-time communication and follow-through
  • Inform security if there are any issues for their attention
  • Order and maintain inventory of kitchen and office supplies, and maintain office equipment
  • Ensure office presentation is professional at all times, including the conference room
  • Manage conference room and the conference room calendar
  • Coordinate with IT for all office needs and special projects – Conference Rooms,
  • Provide refreshments for meetings and make reservations if needed
  • Provide front desk coverage through answering main phone line and greeting guests in a professional, courteous manner
  • Receive packages and mail; coordinate distribution to employees
  • Input info and create labels for Fed Ex/UPS pkgs
  • Other responsibilities as requested

Qualifications and Requirements


  • Minimum 1 year of experience supporting a commercial property management team is required
  • Strong organizational and time management skills required
  • Strong follow-up skills required
  • Experience in tenant and vendor interaction
  • Working knowledge of Yardi and Nexus is preferred
  • Bachelor’s degree preferred from 4-year college or university
  • Exceptional communication and interpersonal skills with a customer-service focus
  • Basic accounting skills and knowledge of AP/AR
  • Proficiency in Microsoft Office (Outlook, Word, and Excel)
  • Basic knowledge of myCOI an Building Engines
